Project management can easily become overwhelming. With so many moving parts, competing priorities, and different stakeholders, how do you make sure you’re running projects the right way?

3. Defined Roles and Responsibilities
Everyone must know who is accountable for what. PRINCE2 has clear roles: Project Board, Project Manager, Team Managers, and more.
💡 Example: In a construction project, the sponsor approves funding, the Project Manager controls delivery, and the Site Manager oversees daily work. No blurred lines.
4. Manage by Stages
Projects are broken into manageable chunks (stages). Each stage is planned, monitored, and controlled before moving to the next.
💡 Example: A hospital expansion might be managed in stages: design → approvals → construction → fit-out → handover. Funding and go/no-go decisions are made at each stage.
5. Manage by Exception
PRINCE2 is designed to avoid micro-management. Tolerances are set for time, cost, quality, scope, risk, and benefits. If a project manager stays within these, they don’t need higher approval.
💡 Example: A Project Manager may have authority to spend up to $20k on contingency. Anything beyond that must be escalated to the Project Board.
6. Focus on Products
The method is deliverable-driven. Instead of just tracking activities, PRINCE2 ensures there’s a clear understanding of what each product (output) should look like.
💡 Example: A project to install EV charging bays defines the “product” as a fully functional, safety-compliant charging station — not just a list of tasks completed.
7. Tailor to Suit the Project
PRINCE2 isn’t one-size-fits-all. The method should be scaled to fit the size, complexity, and context of the project.
💡 Example: A small software upgrade doesn’t need the same documentation and governance as a multimillion-dollar hospital redevelopment. Both can use PRINCE2, but at different levels of formality.
